Crew Documentation: What Authorities Need

One of the primary requests for all procedures is to facilitate essential vessel documentation. Here’s a checklist of essentials that every vessel should have onboard:

✅ Crew List

This must include all crew members currently on board and must be kept updated at all times. It is the primary document used by immigration and port authorities to register the crew.

✅ Seaman’s Book (Seaman’s Discharge Book)

This document is vital to prove seafarer status and is being requested more and more in Spanish ports. All crew members should have one to validate requests for passport stamping upon embarkation and disembarkation – it must be current, valid and stamped accordingly.

✅ Passport Stamps – Schengen Compliance

Pay close attention to non-EU crew Passports.  Days are restricted in the Schengen zone and upon proving seafarer status crew are able to request stamps IN and OUT to regulate this. Failing to manage this correctly this may result in Schengen overstay, leading to fines or future entry bans.

Arrival and Departure Clearance

When a clears in to and out of port with next or previous port outside of the Schengen zone, an Official Clearance should be processed as a record.  This is completed in different ways depending on the port, but for vessels over 24m a port agent should facilitate this.  Skipping this step can lead to administrative issues or even fines in the future.
